5 Prompts to Keep You Caught Up with Follow Ups (Without Living in Your CRM)

If you’re a real estate agent, “follow up” is basically a second job.

If you’re an agent, you already know what a day like this looks like: A Typical Tuesday as a Real Estate Agent.

You’ve got:

  • leads that asked for listings “tomorrow” (last week)
  • buyers who went quiet after a showing
  • sellers who need an update
  • lenders, attorneys, inspectors, contractors

The hardest part is not writing the follow-up.

It’s remembering who to follow up with, why, and what the next step is without rereading 20 threads.

These prompts are designed to help you use an AI assistant to:

What this looks like (in practice)

Here’s one simple way to run these without creating “yet another system”:

  • Morning (3–5 minutes): Prompt 1 to build your list, pick your top 10.
  • Between appointments (1–2 minutes): Prompt 2 to catch any “they emailed last” threads you can clear quickly.
  • End of day (5–10 minutes): Prompt 3 to batch-draft tomorrow’s replies while everything is still fresh.

If you have 1–3 big opportunities you want to move today, run Prompt 4 and send texts one-by-one (after you sanity check details).

If you’re short on new business and want to revive “warm but quiet” leads, run Prompt 5 once or twice a week.
